How does DSDSYSTEM process Internet user data?
Through the Website, DSDSYSTEM implements the following processing of Internet user data (hereinafter the “Processing”):
- collection of Internet user data using the contact form available on the Website;
- measurement of Website audience using third-party cookies from Google Analytics and Google Tag Manager;
- the use of an instant online chat system using a cookie-based tool from Zoho Inc.
- the keeping of a contact record relating to the principal on whose behalf Internet users contact DSDSYSTEM.
What is the purpose of the Processing by DSDSYSTEM?
Firstly, DSDSYSTEM collects information about Internet users by means of the contact form available on the Website for the following purposes (hereinafter “Purposes”):
- to carry out prospecting operations;
- to carry out operations relating to customer management if the principals on whose behalf Internet users have contacted DSDSYSTEM using the contact form available on the Website;
- to manage requests from Internet users concerning the exercise of their individual data privacy rights;
- to manage unpaid invoices and litigation when Internet Users are the referents of their principal, and if there is a disputed contractual relationship between DSDSYSTEM and the said principal.
On what legal basis does DSDSYSTEM implement Processing?
DSDSYSTEM relies on the consent of Internet Users for the implementation of Processing.
This consent is obtained by ticking the appropriate box on the Website’s contact form for the information collected using it.
Regarding the information collected by means of third-party audience measurement cookies, consent is obtained by means of the floating banner that appears when Internet users first browse the Website. This consent is renewed every 30 (thirty) days. Internet Users can revoke this consent by clicking on the floating button at the bottom left of the browser window on the Website. This floating button gives access to an interface allowing Internet users to revoke their consent to audience measurement cookies.
What Internet user data does DSDSYSTEM collect on the Website?
The personal Internet user data (hereinafter “Internet User Data”) collected by DSDSYSTEM from the contact form is as follows:
- surname;
- first name;
- e-mail address;
- job title;
- employer name (designation or company name);
- the postcode of the employer’s registered office or establishment;
- the town where the employer’s registered office or establishment is located.
The Internet user data that DSDSYSTEM collects using third-party audience measurement cookies is the following:
- session identifiers using cookies named _ga and _gid;
- data on Website browsing using the cookie named _gat_<property_id>;
Before sending this information to Google Analytics, DSDSYSTEM obfuscates your IP address.
Google’s analytics.js script uses the information sent by the cookies to collect the following information:
- General information about the device, such as model, operating system and orientation;
- Terminal RAM and disk size;
- Operator (from the country code and network code associated with the mobile)
- Country;
- Regional/language settings;
- Browser version;
- Status in the browser foreground or background;
- Browser package name;
- A pseudonymous application instance identifier;
- Network URL (not including URL parameters or payload content) and the following corresponding information:
- Response codes (403 or 200, for example);
- Payload size in bytes;
- Response times;
- Durations for automated traces.
The Internet User Data that DSDSYSTEM processes by means of Zoho Inc’s instant chat system operated using cookies is as follows:
- A temporary identifier stored in the cookie called JSSIONID and consisting of an alphanumeric string used to allocate conversation data in the online chat to individual Internet users;
- A CSRF token (security for communicating with each Internet user) stored in a cookie named LS_CSRF_TOKEN.
DSDSYSTEM also uses cookies called 60gpBAK, 60gpD, 90plan, 90planBAK, and pll_language which are technical cookies. Their installation is not subject to the consent of Internet users.
Who other than DSDSYSTEM can access Internet User Data?
DSDSYSTEM calls on subcontractors and co-managers to implement the Processing.
OVH (hereinafter “OVH”), domiciled at 2 rue Kellermann in Roubaix (France), is the host of the Website and of the form data passing through it.
Zoho Inc (hereinafter Zoho) provides DSDSYSTEM an instant online chat solution used on the Website called SalesIQ. Internet User Data is therefore stored on Zoho’s servers, domiciled in the United States of America, where its servers are also located.
The data of Internet users using the chat therefore transits to the United States of America.
However, DSDSYSTEM informs Internet Users that Zoho applies the principles of the Privacy Shield, which is the international convention governing the transfer of personal data between the European Union and the United States of America. Google LLC. (hereinafter Google), domiciled in the United States of America, provides DSDSYSTEM a solution to analyse the collected data using cookies to measure the Website audience. The Internet User Data collected using those cookies is sent to servers located in the United States of America. However, DSDSYSTEM informs Internet users that Google applies the principles of the Privacy Shield, which can be viewed by clicking on the following link: https://www.privacyshield.gov/participant?id=a2zt000000001L5AAI
How long does DSDSYSTEM keep Internet User Data?
The time Internet User Data is kept varies depending on its Processing.
As part of the collection of Internet user data from the contact form, DSDSYSTEM keeps said data in customer contact records for:
- the duration of the contractual period binding DSDSYSTEM to the principal on behalf of whom an Internet user solicited DSDSYSTEM and for up to 5 years as from the end of that contractual period;
- 3 years from the collection if, despite prospecting operations using Internet user data, no contract was signed between DSDSYSTEM and principal on behalf of which an Internet user solicited DSDSYSTEM.
Internet user data collected using the various cookies on the Website is kept for a maximum of 14 months from the collection date.
The Data of Internet users who have made a complaint relating to the exercise of their rights is kept for 1 year.
If Internet User Data appears on accounting documents, some of which may be required for the management of unpaid bills and litigation, then said Internet User Data may be kept for 5 years.
What rights do Internet users have?
DSDSYSTEM informs each Internet User that they individually have the right to request access to personal data concerning them, the rectification or erasure thereof, or a limitation of the Processing carried out on Internet User data relating to the person concerned, or the right to object to the processing and the right to data portability.
